How TapQual works

Setup takes about ten minutes and needs no developer. This is the whole of it, including the parts most tools would rather you did not read.

Getting set up

    Create your account

    Fourteen days free, no card. Pick what kind of business you run — that decides which set of questions you start with. You can change every word of them later.

    Connect your WhatsApp number

    About two minutes, in Connect WhatsApp. You sign in to Facebook, choose your business, and add the number leads should message. It has to be a number that can receive one SMS or call, and it must not already be in use on the WhatsApp app — if it is, use a different number. You end up owning the account, not us.

    Add your booking link

    Whatever you already use — Cal.com, Calendly, a Google Form, a page on your site. This is what hot leads get the second they qualify.

    Point your ads at it

    In Meta Ads Manager, choose Click to WhatsApp as the destination and pick your connected number. That is the whole integration.

Your questions

You start with three, because three is what people answer. Each one is buttons, not typing — nobody types their goals into a chat at 11pm, and the answers stay clean enough to score.

Every option carries a number. "This week" is worth four times "just exploring", because it is. Add the numbers up and you get a score; the score picks which of three endings the lead gets. You can change the wording, the options, the numbers and the endings, and try it against a fake lead before it goes live.

Two limits worth knowing

WhatsApp allows a maximum of three buttons per question, or ten in a scrollable list. Button labels are capped at 20 characters. We stop you going over rather than letting Meta reject the message.

When we disturb you

Only for hot leads. Warm ones are nurtured quietly and warm leads that heat up get resurfaced; cold ones are closed politely and you never hear about them.

Quiet hours hold your alert until morning — they never hold the lead's reply. Someone who qualifies at 2am still gets your booking link at 2am. That is the whole point, and it is not configurable for a reason: the fastest reply wins the client, and you being asleep is not the lead's problem.

When someone asks something off-script

Leads ask about price, location, whether you do online coaching. If AI is on for your plan, TapQual answers from a knowledge base you write — plain question-and-answer pairs, in your own words — and then picks the conversation back up where it left off.

It only answers from what you have written. If the answer is not in there, it says so and hands over to you rather than inventing something. Without AI, it acknowledges the message, promises you will follow up, and points them back at the buttons.

One thing it does not do: make someone who is ready to buy finish a quiz. If a lead says "how do I sign up", the questions stop and they go straight to your booking link.

Teaching your ads who is worth finding

This is the part almost nothing else does. When a lead qualifies, we tell Meta — matched back to the exact ad click that started the conversation.

Meta's algorithm optimises for whatever you report. Report every WhatsApp conversation and it finds you people who like chatting. Report only qualified leads and it starts finding you people who buy. Same budget, better people. It is on every paid plan, because it is the strongest reason to use us and hiding it behind an upgrade would be daft.

What this costs, honestly

You pay us a flat monthly fee. Meta charges separately for some messages, and those charges go to Meta directly, on your own payment method. We never touch them and never mark them up. Most tools in this category resell Meta's messages at a margin; we would rather be cheaper and boring.

In practice most conversations cost nothing at all. A lead who arrives from a Click to WhatsApp ad opens a 72-hour free window, and the whole qualification plus every follow-up fits inside it.

The 24-hour rule

Outside that window, WhatsApp only allows pre-approved template messages, and those are charged. We handle the difference automatically — you will never see a failed message because of it — but it is why a reply two days later looks slightly more formal.

If you stop paying, or leave

A failed payment does not lock you out of your own leads. You keep reading everything; new leads stop being answered after three days if it is not sorted. Cancelling keeps you running to the end of the period you already paid for.

Your leads are yours. Export the lot to CSV at any time, with the full transcript, from the leads page. The WhatsApp number is registered to your business, not ours, so it leaves with you too.

When something looks wrong

Leads are not getting a reply
Check Settings → WhatsApp first. The usual cause is a missing webhook subscription: the number sends perfectly and receives nothing, and Meta reports no error anywhere. We show it as a red warning as soon as we can see it. Hit Reconnect, or email us and we will do it.
I am not getting alerts
Check the mobile number in Settings has your country code and no + or spaces, and that the alert mode is not set to digest-only. Alerts also need you to have messaged your own TapQual number at least once — WhatsApp will not let us start a conversation with you otherwise.
Everyone is coming out cold
Usually the scores, not the leads. Open your questions and look at what each option is worth. If your ad promises something free, expect a lot of genuinely cold traffic — that is the ad doing its job badly, and the score is telling you so.
A lead tapped a button from three messages ago
That works. Buttons stay tappable in WhatsApp history forever, so we match on which question the button belonged to rather than where the conversation happens to be. An old tap is answered correctly, not treated as an answer to the current question.
